POSITION SCOPE


The Maintenance Coordinator is responsible for communication of the repair process to all parties involved. Work with supervisors and technicians to plan and schedule necessary repairs to keep overall fleet availability high.


PRIMARY DUTIES

  • Open and manage maintenance work orders in our system and database.
  • Manage and maintain the flow of communication while job is open.
  • Work with the Maintenace Supervisor to plan and schedule sublet vendors and technicians as well as assign priority.
  • Make sure that work order(s) are set up properly and include all the correct documentation and paperwork. Confirm that all information has been entered accurately.
  • Monitor and communicate the repair process for all open jobs. Ensure continued job progress; follow up conversations with documentation as well as utilizing all current system tools provided.
  • Plan repair jobs through various areas, vendors, and technicians. Coordinate resources to support the repair process.
  • Consistently improve procedures to streamline the process.
  • Brief supervisors and submit reports on monitoring measures such as job(s) completed, time entered, parts ordered, waiting on parts, tech assignment etc.
  • Analyze, plan, and implement status reports on timeliness and accuracy of work in process.
  • Analyze work orders to ensure correct contacts and assignments are used.
  • Communicate schedule changes to any applicable party. To ensure that all parties are informed about progress and delays.
  • Manage fleet vehicle registrations, make sure they are current, and that the driver(s) have the correct paperwork in the vehicle.
  • May require picking up the registrations and other Dept of Motor Vehicle documents from an applicable facility in town.
  • Manage and regularly update our internal database with the current driver and job assignments.
  • Requires regular and punctual employee attendance.
  • Performs other duties as assigned.



BACKGROUND

  • Strong technical aptitude and understanding of heavy machinery operations and service.
  • Technical expertise - specific business/industry job-related professional knowledge, skills, experience, and performance attributes
  • Demonstrated skills with all Microsoft Office products including, but not limited to, Excel, Word, PowerPoint, etc.
  • Interpersonal skills sufficient to engage with customers, vendors, own staff, and separate departments throughout the organization in order to exchange information, influence, and persuade in order to achieve company goals
  • Excellent oral and written communication skills
  • Excellent organizational, self-management, time management, and multitasking skills
  • Ability to listen to and understand information and ideas presented through spoken words and sentences.
  • Knowledge of safe work policies, procedures, and practices
  • Critical thinking skills to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
  • High school diploma or equivalent required
  • Five or more years of job-related experience
  • Applicant must be at least 21 years old.
  • Valid driver's license and have a clean motor-vehicle record to meet company insurance guidelines.
  • Willing to work in a team environment.
  • Individual must be able to lift objects weighing 50 lb. on a regular basis.
